Hospital financial analytics dashboard unifies 18,000+ daily payments across patients, pharmacy, canteen, lab and departments

A large hospital group needed a single financial analytics dashboard to monitor daily revenue and payments across all touchpoints: over 3,000 patient payments, 8,000+ pharmacy payments, 7,000+ canteen and lab payments, plus OPD, IPD, diagnostics, emergency, blood bank, and other departments. Vimix delivered a Power BI–based solution with a SQL Server data warehouse, automated ETL, and role-based dashboards for finance, operations, and leadership.

Project Overview

The Challenge

Financial data was scattered across hospital information systems (HIS), pharmacy, canteen, lab, and departmental systems. Finance teams spent days consolidating spreadsheets to get a daily or monthly view. The client needed a single, reliable dashboard showing payment volumes, revenue by department, trends, and exceptions—with refresh cycles that could support same-day decision-making.

Our Solution

Vimix delivered a hospital financial analytics dashboard that unified over 18,000 daily payments across patient, pharmacy, canteen, lab, and all key departments.

Our Approach

1

Source Mapping and Data Model

We mapped all payment and revenue sources: patient billing (OPD, IPD, day care), pharmacy (in-patient and retail), canteen, laboratory, diagnostics, emergency, blood bank, and other departments. We designed a star-schema data model in SQL Server to support reporting by time, department, payment mode, and segment (e.g. insurance vs. self-pay).

2

ETL and Data Warehouse

We built automated ETL pipelines (using SQL Server Integration Services and scheduled jobs) to ingest, cleanse, and load transaction data from source systems into the warehouse. Incremental loads and validation rules ensured data quality and consistency. Refresh schedules were set to support daily and intra-day views where source systems allowed.

3

Power BI Dashboards and Governance

We developed Power BI dashboards for daily payment summary (3,000+ patient, 8,000+ pharmacy, 7,000+ canteen and lab, plus other departments), revenue by department and payment mode, trend analysis, and exception alerts. Role-based security ensured that finance, operations, and leadership saw only the appropriate level of detail. We used Power Query for transformation, DAX for measures, and optimized refresh and performance.

Single View of 18,000+ Daily Payments

Finance and operations gained one dashboard for patient, pharmacy, canteen, lab, and all other department payments—eliminating manual consolidation and reducing reporting lag from days to hours.

Faster, Accurate Financial Decisions

Daily and trend views enabled quicker responses to revenue gaps, department performance, and payment mode mix.

Scalable and Maintainable

The warehouse and Power BI framework supported additional departments and metrics without re-architecting, with clear documentation and handover to the client's IT and finance teams.
